1-Job Title: Documents Controller
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
• On confirmation of participation of a Tender and receipt of original tender documents
• Open a file with new Tender No. & Title and on receipt of Tender Documents
• Stamp received with date original tender documents.
• Photocopy for office use all tender documents.
• Distribute this copy to the assigned Estimator by the Tendering Manager
• Provide Technical Department of a copy of Letter of Invitation, Conditions of Contract, BOQ and whenever they need any of the balance documents eg. Drawings they check with the set of the Estimator.
• Upon receiving all incoming correspondences, Offers, Quotations etc., Stamp time received, distribute to relevant persons.
• Filing of all Incoming / Outgoing documents.
• Maintenance of the Estimation Department Files in accordance with the defined system.
• Maintain a copy of all tender documents and addendums.
• Assist in compilation of tender submission documents.
• Help the Tendering Manager in wrapping up of Tender Submittal
• To keep copy of As Submitted priced copy of Tender Documents.

2- Job Title: Planner
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
• Prepare the project contractual critical path project schedule including breakdown structure for submission and approval based on contract documents.
• Prepare part project schedules complying with the contractual one.
• Prepare detailed project schedules based on items 1 and 2 above.
• Prepare project look-ahead schedules as directed by PM.
• Prepare regular updates to items 1-4 above using all information received from PM, PCM, subcontractors, suppliers, and where activities can be started earlier that scheduled.
• Prepare and regularly update, and track schedule of resources (plant and manpower to meet activities milestones. E.I. (Histograms).
• Prepare, regularly update, and track material schedules (submission, approval, order, delivery) in accordance with contract schedule ensuring timely availability of materials to minimize storage requirements whilst preventing negative schedule impact, and produces related reports to the PM.
• Inputs information on progress from/by site personnel, subcontractors, and suppliers.
• Perform weekly backups of all modified schedule data files.
• Monitor the progress of the works against the contractual schedule, advise PM on schedule slippage and prepare recovery plans.
• Liaise with the relevant site authorities and department to expedite document processes. (Submission, approval, order etc.) To commence a work activity and avoid slippage.
• Assist PM on producing internal and external reports as directed. E.I. (project budget statements, cash flow etc.)
• Attends site meetings when directed.
• Retain electronic copies of all schedules for archive purposes.
• Distribute required documents after PM approval through the site document controller and recording.
• Assist PM in preparation of monthly, progress reports and interim payment certificates when site quantity surveyor is not available.

• Arranges and coordinates travel schedules and reservations.

• Makes copies of correspondence or other printed materials.
• Prepares outgoing mail and correspondence, including e-mail and faxes.
• Orders and maintains supplies, and arranges for equipment maintenance.
